Privacy Policy

This Privacy Policy explains how Dance Passport PTY Ltd (registration number 2026/717296/07, "Dance Passport", "we", "us") collects, uses, stores and protects personal information through the Dance Passport platform (dancepassport.com and app.dancepassport.com), in accordance with South Africa's Protection of Personal Information Act, 2013 ("POPIA").
1. The Two Roles We Play
Dance Passport is used by dance studios ("Studios") to manage their own students, guardians and staff. Depending on the information involved, we act in one of two roles under POPIA:
- Responsible Party: for information about Studio account holders and staff, and for billing information, we determine how and why that information is processed.
- Operator: for information about a Studio's students and guardians that the Studio enters into the platform, we process that information on the Studio's behalf and on their instructions. The Studio remains the Responsible Party for that data. If you are a student, parent or guardian with questions about information held about you, please contact your Studio directly, as they control that data.
2. Information We Collect
- Account information: name, email address, phone number, studio name and role.
- Billing information: billing address and subscription details. We do not collect or store your payment card details — these are collected and processed directly by our payment processors, PayFast and Paddle.
- Studio-submitted data (processed by us as Operator): information a Studio records about its students and guardians in the platform, such as names, contact details, class enrolment and attendance.
- Usage information: information about how the Service is accessed and used, which helps us operate, secure and improve the platform.
3. How We Use Information
We use personal information to:
- provide, maintain and secure the Service;
- process subscription payments and manage your account;
- communicate with you about your account, billing, and service updates;
- respond to support requests;
- comply with our legal obligations.
We do not use Studio-submitted student or guardian data for any purpose other than providing the Service to the relevant Studio, and we do not sell personal information.
4. Information About Children
Dance Passport is a business tool used by Studios; children do not create their own accounts on the platform. Where information about a student who is a minor is entered into the platform, this is done by the Studio (and, where applicable, with the involvement of the student's parent or guardian) as the Responsible Party for that information. Questions about a specific student's information should be directed to the relevant Studio.
5. Sharing of Information
We share personal information only where necessary to provide the Service, including with:
- PayFast and Paddle, our payment processors, to process subscription payments;
- service providers who host and support our infrastructure, solely to operate the Service;
- regulators or authorities, where required by law.
We do not sell personal information to third parties.
6. Cross-Border Transfers
Some of our service providers may store or process information outside South Africa. Where this happens, we take reasonable steps to ensure the information remains protected to a standard consistent with POPIA.
7. Data Retention
We retain personal information for as long as your account is active, and for a reasonable period afterwards to meet legal, accounting or dispute-resolution requirements, after which it is deleted or anonymised.
8. Security
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Rights
Under POPIA, you have the right to:
- request access to the personal information we hold about you;
- request correction or deletion of inaccurate, irrelevant or outdated information;
- object to the processing of your personal information in certain circumstances;
- lodge a complaint with the Information Regulator of South Africa if you believe your information has been mishandled.

10. Cookies
Our website may use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the site is used. You can control cookies through your browser settings.
11. Changes to this Policy
We may update this Privacy Policy from time to time. We will notify you of material changes before they take effect. The "Effective date" above reflects the date this policy was last updated.
